Cancellation Terms

1. Definitions

• “Client / Renter” refers to the person or entity renting the vehicle.
• “Company” refers to Namib Car Hire & Recovery Services CC.
• “Rental Agreement” refers to the written or digital contract executed upon booking.

2. Booking & Payment

• A booking is confirmed once payment or deposit is received.
• Full payment may be required before vehicle handover.
• Rates are subject to change without prior notice until a booking is confirmed.

3. Cancellation Policy

• More than 30 days: full refund
• 15-30 days: 80% refund
• 7-14 days: 50% refund
• 3-6 days: 25% refund
• Less than 3 hours or No-show: no refund

4. Vehicle Condition & Use

• The vehicle must be operated responsibly and in accordance with Namibian law.
• Off-road driving is only allowed where permitted.
• The vehicle must be returned in the same condition, excluding normal wear and tear.

5. Insurance

• Insurance coverage and excess amounts are specified in the Rental Agreement.
• Insurance does not cover negligence, alcohol-related incidents, or unauthorized drivers.

6. Security Deposit

• A refundable deposit is required at collection.
• Refunds are processed within 3-7 working days after all inspections and charges are finalized.

7. Fuel Policy

• Vehicles are supplied with fuel and must be returned at the same level.
• Shortages will be billed to the client.

8. Traffic Fines and Violations

• All fines incurred during the rental period are the responsibility of the client.
• Admin fees may apply for fine processing.

9. Breakdown Procedure

• Clients must contact Namib Car Hire and Recovery immediately for assistance.
• Unauthorised repairs may result in charges.

10. Liability

• The client is liable for damages not covered by insurance.
• The company is not responsible for personal items left in the vehicle.

11. Force Majeure

No refunds for cancellations due to events beyond the company’s control.

12. Amendments

Namib Car Hire and Recovery reserve the right to update these Terms and Conditions at any time.
